QRM ROLES AND RESPONSIBILITIES
Note: Roles do not carry over between the LMS and QRM.
If your organization uses more than one solution, your access is set separately in each one. That means you might be a standard user in the LMS, and a lead in QRM, at the same time.
For example, in QRM there are different lead roles. An overall lead may have visibility across the entire organization, while a program lead, such as an IPAC lead, may be able to manage reports for their program.
In the LMS, access depends on your LMS role. If you are set up as a user in the LMS, you will only see user functions, even if you are a lead in QRM. So, an IPAC lead in QRM will not automatically have access to LMS reports unless they are also given an LMS role that includes reporting permissions.
| Role | Definition (who this is) | Core Responsibilities | Typical Permissions in QRM |
| Auditor (Assigned) | A person who receives an audit under My QRM and is responsible for completing it. | Launch assigned audits, answer questions, create actions for deficient/noncompliant responses, save progress, review deficiencies, submit action plan. | View assigned audits; perform assigned audit; create and edit actions tied to their responses; save and resume; submit action plan for audits they complete; view their own submitted audit record (as allowed by setup). |
| Auditor (On-Demand) | A person who starts an audit from QRM On Demand that is available at any time. | Locate and launch on-demand audits, enter schedule/location/name, complete audit, create actions as needed, review deficiencies, and submit action plan. | View on-demand audit library; launch on-demand audits; enter audit metadata (schedule/location/name); create and edit actions tied to their audit; save and resume; submit action plan for audits they complete. |
| Action Owner | A person assigned an action that results from an audit and is responsible for completing it. | Review assigned actions, carry out the task steps, update progress and completion details, provide notes/evidence if required, and close the action when done. | View actions assigned to them under My Actions; update action status and notes; attach comments/evidence if enabled; mark action complete (within permission rules). |
| QRM Coordinator | A person who oversees day-to-day audit activity for a program, team, or site. | Monitor completion, follow up on overdue audits/actions, support users, confirm actions are meaningful and tracked, and escalate gaps. | View audit and action lists for their area; view submissions; run basic reports/dashboards if enabled; reassign actions (if enabled); limited configuration access (varies). |
| Program/Department Lead | A leader accountable for quality outcomes for a team or service area. | Review trends, confirm priorities, remove barriers, approve resourcing for action plans, ensure follow-through. | Read-only access to results and action plan status for their area; view dashboards/reports; may approve/endorse actions if workflow exists. |
| System Administrator (QRM Admin) | A person who manages QRM setup and user access. | Manage permissions, audit availability, templates, schedules, fields, system configuration, troubleshoot access issues. | Full access to configure audits, tabs, availability rules, roles/permissions; manage users; view all audit/action data; export/report settings (as enabled). |
| Reviewer/Approver (if used) | A person who reviews audits or action plans for completeness before they are finalized. | Review deficiency summary, check action quality, request updates, approve submission when required by workflow. | View audits/action plans pending review; comment/request changes; approve or send back (only if your workflow includes this step). |
