HOW TO COMPLETE AN ASSIGNED AUDIT
An audit can be assigned to a person or group to complete. An email will be sent as part of the notification that you have been assigned an audit.
Accessing your Assigned Audit(s)
- Main Dashboard - a tile will display letting you know how many audits you have been assigned.
- Main Menu - Click on the QRM icon located on the left hand side main menu
The audit(s)/required part will appear under MY QRM
The information displayed includes:
- The name of the audit
- The schedule name (specific details i.e. building name, room number etc.)
- Due Date
- Status - if it was started or not
- Name of User - the person who has launched the audit (if it was assigned to a group/role)
- Name of the Role (the group of people who it was assigned to)
To Begin the Audit:
1. Click on the audit name
2. Answer the questions to the best of your knowledge
a. If you have obtained information for someone else, you can add their name as a participant, but your name will be the name of the person who completed the audit.
b The types of questions can include, check all that apply, open text, rating/slide etc.
c. You can also upload associated documents, pictures and comments
d. When you select an answer that is considered non compliant, a warning ICON will pop up. This is where you can create an action plan to address the issue.
e. If you are not finished the audit, you can click save and finish later
3. Once you have finished, click save and review deficiency icon.
a. You will then be taken to the page where you can review your deficient answers. If there are no deficiencies you can click on the Submit Action Plan.
Reviewing Your Deficient Answers
This is an opportunity for you to review how you have addressed the deficient answer.
The items available for review:
Warning Sign - if the audit is deficient you will see a red warning label. This means there are more deficiencies than allowed.
Identified Deficiency- The question, and the associated response
Corrective Action - The action required to be completed
Responsibilities - Who is responsible for completing/following through on the action
Target Date of Completion - Due Date
Outcome - A description of the outcome written by the person responsible
ollow up is required
Date Completed - Status of the action
Plus sign - Allows you to add additional actions.
Open Check Box Option - allows you to merge actions. It allows you to take the already created action, and merge it with the others, creating an overall action. The merged actions will then be reflected as complete
Envelope - allows you to send an immediate email notification.
Back to QRM - Allows you to go back and review your responses, and add overall actions to address any missed opportunities for improvement.
Submit Action Plan - Finishes the and submits all the responses
Create Action - Allows you to create overall actions.
