CREATING ACTIONS IN AN AUDIT
A deficiency is a non compliant or incorrect response to an observation.
In Surge Learning, audit question response options can be set to flag a deficiency when an incorrect answer is selected. When a deficiency is identified, the person completing the observation is required to create an action.
The action must include documentation describing how the deficiency will be corrected. Available options include:
- Assigning the action to another individual responsible for resolving the issue
- Assigning education (based on access level)
- Correcting the deficiency at the time of the observation.
- You may address deficiencies as they occur or create all required actions at the end of the audit.
Action – Assigning an Action to Another Person
- In the Action field, enter the task that needs to be completed (for example, “Review memo”).
- Assign the action by typing the name of the person responsible. Select the correct name when it appears.
- Select a due date for the action.
- Click submit. Add as many actions as required.
Action - Assigning education
This allows you to assign education as required to address the deficiency.
- Click Assign Education
- Select the course (only 1 course can be assigned at a time)
- Select the assignment type.
- Select the due date using the calendar icon.
- Click submit
Action - Assign Audit
If further observations are required, you can assign an additional audit for someone/group to complete.
- Click Assign Audit
- Using the drop down arrow, select the audit
- Type in the Location/Area/Name/Label of the audit
- Select the frequency
- Type in the due date
- Select the group of user(s)/role
- Click Submit
You can select the checkbox to send notification for those involved in the audit.
Action - Completing an Action Yourself - If you have already addressed the deficiency, you can add a note in the action.
- Click Complete Action Myself
- Add your remarks
- Click Complete Action
