HOW TO ADD A NEW USER
Click Manage Users from the collapsible side panel.
Click ADD NEW USER
Enter the employee’s first name and last name.
Enter the employee’s email address (do not leave a space at the end of their email address)
The system will automatically generate the Display Name, Username and Default Password.
If the system is telling you that the username is already taken, you can change the username to something else. If “jdoe” is already taken, below are alternatives as an example:
- janedoe
- doej
- janed
- janedoe1
The employee will be asked to change their password upon their first login.
Custom fields allow you to add additional/optional information to employee profiles.
For example, you can dedicate Custom 1 to Employment Status, and Custom 2 to Employee I.D. There are three custom fields in total.
Benefit of Using Custom Fields: They can be used as filters when looking at your user list in Manage Users or to reports. For example, if you notice someone is falling behind on their education, a custom field in your reports may help you determine that they may be part time or casual staff.
Alerts and Reminders
An employee’s user profile can have alerts/reminders set up. This allows them to receive notifications when the system is upgraded or education is coming up/due.
Surge Correspondence: Subscribes the user to Surge’s newsletter and company updates. These are more important for Education Leads and System Administrators.
Surge Alerts: This is a weekly email that summarizes how many courses are coming due in 30 days, and how many courses are overdue. It will also include any messages in the message board if there are any.
Review Skills Alerts: Prompts the staff to visit their profile and check off, or submit, any skills, certifications they have already obtained (i.e.: CPR)
Then, select the name of the employee supervisor. If the employee works within two departments, a second supervisor can be added.
Education Coordinators and System Administrators have access to pull reports on anyone in the workplace. It is not necessary to put your name here unless no one else needs to oversee their education completion.
Department Supervisors have access to pull reports only on the users who have them listed as their supervisor. Adding their name here will allow them to pull the reports.
If the user IS a supervisor, check off the checkbox “This User is a supervisor”. This will add them to the Supervisor 1 and 2 drop down options.
Next, select the Education Groups that apply. Education groups will vary and depend on your organization’s training needs. Below is an example of education groups.
Check off all the Education Groups that apply.
Example: If you are adding a new Nurse who needs to do their Orientation in Surge, you might select the following groups, All Staff, All Direct Care Staff, Registered Staff, Orientation All Staff, Orientation Direct Care Staff, Orientation Registered Staff.
Ensure the ACTIVE STATUS is set to YES
Ensure the ORIENTATION is set to YES if you would like them to start with their onboarding assignments. Click SAVE when you are finished.
Click SUBMIT AND CONTINUE if you would like to save your progress and proceed with adding employee’s skills and credentials.
Setting Skills
Using the checkboxes, select any training or certifications that this employee has obtained.
Enter the obtained date, the system will remind you and the employee, when the skill/certification is coming due for renewal.
Click SUBMIT to save the certifications or skills you have added.
Click CANCEL to proceed without adding skills/credentials.
